How do I find documents?
Each service has a search function at the top where you can filter on one or more of the headings. Some filter boxes have a drop-down option and some you can type in text when you click into the white box under a heading. You can filter on more than one heading. The data table and documents are updated every 24 hours.
Find authorisations
There are four headings in the search box at the top of the page that use a dropdown list to select from, all other fields are free text, and the datatable will filter as you type the information into the field. For example, if you know the Authorisation number you are looking for simply type that into the relevant field and the table should filter to just that authorisation.
- Granted – the authorisation is currently active
- Surrendered – the authorisation was surrendered within the last 12 months
- Expired – the authorisation has expired within the last 12 months
- Revoked – the authorisation has been removed by SEPA within the last 12 months
- CAR Complex Licence – a licence level authorisation under the CAR regulations
- CAR Registration – a registration level authorisation under the CAR regulations
- CAR Simple Licence – a licence level authorisation under the CAR regulations
- EASR Permit – a licence level authorisation under the EASR regulations for water, waste and/or industrial activities
- EASR Permit Non-Nuclear – a licence level authorisation under the EASR regulations for radioactive substances
- EASR Permit NORM – a licence level authorisation under the EASR regulations for radioactive substances
- EASR Permit Nuclear – a licence level authorisation under the EASR regulations for radioactive substances
- EASR Registration – a registration level authorisation under the EASR regulations for water, waste and/or industrial activities
- EASR Registration Non-Nuclear – a registration level authorisation under the EASR regulations for radioactive substances
- EASR Registration Offshore – a registration level authorisation under the EASR regulations for radioactive substances
- EASR Registration Outwith Scotland – a registration level authorisation under the EASR regulations for radioactive substances
- PPC Part A – a licence level authorisation under the PPC regulations
- PPC Part B – a licence level authorisation under the PPC regulations
- Reservoir Registration – a registration level authorisation under the Controlled Reservoirs regulations
- Waste Carrier Registration – a registration level authorisation under the Waste Carrier regulations
- Waste Complex Exemptions – an exemption from authorisation under the WML regulations
- Waste Management Licence – a licence level authorisation under the WML regulations
- Waste PCTW Notification – a notification to SEPA of a Professional Collector and Transporter of Waste under the WML regulations

Once you identify the authorisation(s) you are looking for, click on the arrow to the left of “Authorisation number” and more details about the authorisation will show. If you have selected “yes” for “Documents available” in the search window, there will be a link to view the documents, if you have selected “no” there will be no link as no documents are available online.
Click on the link “Documents”, you will be taken to another window called “SEPA Online Register”. You should see an index for the Authorisation Number you have searched for with folder(s) and an index.html. The index.html does not link to anything useful for the user, it is part of the file structure and does not contain any documents or details.
The folders can be accessed by clicking on each folder and you will be shown a list of documents available. To access the document, click on the document name.
Once you have filtered for all information you require, the “Export as CSV” option is available, this will export a CSV containing the following fields:
- Authorisation number
- Authorisation holder
- Authorisation location
- Authorisation level
- Authorisation status
- Regulatory area
- NGR
- Documents
- Last updated

Find applications

For example, if you know the name of the Applicant for the application you are looking for simply type that into the relevant field and the table should filter to any applications from that applicant that are being determined.

Once you identify the application(s) you are looking for, click on the arrow to the left of “Application reference” and more details about the application will show. All applications should have documents available so you should see a “Documents” option in this area.
Click on the link “Documents”, you will be taken to another window called “SEPA Online Register”. You should see an index for the Application reference you have searched for with folder(s) and an index.html. The index.html does not link to anything useful for the user, it is part of the file structure and does not contain any documents or details.

- Application type

- Date application received

- Current authorisation number*

* This will only have information if the application type is changing an existing authorisation, if it is for a new authorisation then no authorisation number will be available until the application is determined.
